PRIVACY POLICY

1.0 OUR COMMITMENT TO USER PRIVACY AND DATA PROTECTION

Rhino sports academy is committed to keeping its customers data safe. We will not use our customers data for any other reason that what we have consent for. We will also take all reasonable steps to ensure their data is stored securely.

Our customers have the right to opt out of receiving promotions from us. This can be done by emailing our office on Enquiries@rhinosportsacademy.co.uk

2.0 RELEVANT LEGISLATION

Customers who entrust their personal data to Rhino sports academy have the following rights under GDPR:

  • The right to be forgotten (you can request for your data to be deleted)
  • The right to see all the data we hold on you (by submitting a Subject Access Request)
  • The right to data portability (if you ask to see all your data, we’ll give it to you in a commonly used format, like a pdf)
  • The right to correct inaccurate information we hold on you
  • The right to opt-out of marketing communications as easily as you opted in
  • The right to restrict or object to processing (although we may still need to hold on to your data, for example to fulfil a contract)
  • The right to complain (this would be to a supervisory authority responsible for data protection)

We have taken the relevant internal action to ensure processes are in place to be compliant with all of the above points.

3.0 PERSONAL INFORMATION THAT WE COLLECT

3.1 PARENTAL DATA (ONCE YOU ARE SIGNED UP TO RHINO SPORTS ACADEMY)

What information we will hold on you

When you sign your child up for one of the Rhino sports academy clubs that we offer, we collect the following information from you: name, email address, phone number, home address and your child’s school.

How we will use it

We collect parent’s names, email addresses, phone numbers, and home addresses for child protection and safety purposes, and to send you information relating to the activity you signed up for and future events that you might be interested in.

Our justification for holding this data

We have a requirement to communicate with our customers and to share information on the club, safeguard their child during the course and to collect payment for the course.

With whom we may share your data

Rhino will not share data with any third party for marketing purposes. Rhino does withhold the right to share any data we hold with recognised bodies in order to safeguard a child.

When processing payments, we do not store credit card details nor do we share financial details with any 3rd parties

3.2 CHILDREN’S DATA

What information we will hold on your child

When you sign your child up for one of our Rhino clubs, we may collect the following information from you about your child: name, DOB and medical information. During any Rhino led activity, we will also record attendance of all children.

How we will use it

We collect names, DOBs, and medical information to ensure your child is allocated in the correct age group, monitor their attendance, prepare for any medical requirements and to assist in the case of a medical emergency.

Our justification for holding this data

Keeping a record of their attendance and medical information is known as a ‘vital interest’ justification, as we need to know this to safeguard your child and is also required to comply with our legal obligations.

Who we share your data with

Your data will only be shared with the required members of staff within Rhino sports academy and the school in which our course runs. 

How long we will keep your data

We will retain data during the life of the relationship with the customer and then for no more than three years thereafter. 

3.3 SCHOOL’S DATA

What information we will hold on all schools that we operate a service within.

We hold email addresses of teachers and headteachers (both named and generic addresses), the postal address & telephone number of school.

How we will use it

We hold contact information (email addresses, postal addresses, and phone numbers) for billing purposes.

We also retain email addresses to contact schools with marketing information with think will be of interest to them.

Our justification for holding this data

We have a contractual need to retain email addresses, postal address, and phone numbers in order to contact schools for billing purposes.

We have a legitimate interest to contact schools who have not yet started working with Rhino.

How long we’ll keep your data

We have the right to retain data which is in the public domain, including school names, addresses, phone numbers and generic email addresses.

4.0 HOW WE STORE YOUR PERSONAL INFORMATION

4.1 WHERE YOUR DATA IS STORED

All hard copies of consent forms, permission slips, registers, and payment collection logs held at our office are locked away when not in use in a secure cabinet. Our office is also locked and alarmed. 

Our server is encrypted with a password that is only shared with authorised personnel. Registers and payment collection logs are stored on our server. 

4.2 INFORMATION IN THE FIELD

There is a requirement for our staff to hold hard copies of registers that contain child’s name, age and medical information along with parents contact telephone numbers. This is a legitimate requirement to carry out our services safely and professionally. When not in use, any information is to be locked away securely. Once a club finishes all relevant information is to be handed back to the Rhino office team.

Our staff have all received GDPR training to uphold our privacy policy in full.  

5.0 ABOUT THIS WEBSITE’S SERVER (INC. SECURITY INFO)

Our server, which we manage ourselves, is hosted in the UK with a company called lgptech.com. The server Operating System is kept up to date via automatic security patches and all software used is still supported (including PHP).

All our sites use HTTPS encryption to protect any sensitive data in transit from the server to the browser.

6.0 DATA BREACHES

In the event of an unlawful data breach of this website or any of our data held on third-party data processors, we will inform the Information Commissioner’s Officer within 72 hours of the breach, If the fundamental rights and freedoms of those individuals whose data has been compromised is at risk. We will inform the people whose data has been compromised of the breach if the data compromised could have a significant negative impact on the individuals concerned (e.g. if it affects their financial or medical data).
